Job Overview:

We are seeking a highly organized and proactive individual to join our team as an Executive Assistant for the Founders and HR Administrator. In this dual role, you will provide comprehensive administrative support to the founders while also managing HR-related tasks and functions. This position requires exceptional multitasking abilities, attention to detail, and a proactive approach to problem-solving.

Key Responsibilities:

Executive Assistant for Founders:

  • Manage the founders' calendars, schedule appointments, and coordinate meetings.
  • Handle incoming calls, emails, and correspondence on behalf of the founders.
  • Prepare and edit documents, presentations, and reports as needed.
  • Assist with travel arrangements, accommodations, and logistics for business trips.
  • Conduct research and compile data for special projects as assigned.

Vendor Selection and Onboarding:

  • Identify potential vendors based on organizational needs and requirements.
  • Coordinate the vendor selection process, including soliciting bids, evaluating proposals, and negotiating contracts.
  • Ensure timely and accurate onboarding of new vendors, including the completion of necessary documentation and compliance checks.
  • Identify areas for improvement and work with vendors to implement corrective actions as needed.
  • Serve as the primary point of contact for vendor inquiries, issues, and escalations.
  • Foster positive and collaborative relationships with vendors to facilitate effective communication and problem resolution.
  • Maintain employee records, including personal information, attendance, and performance evaluations.
  • Prepare and maintain HR-related documents, such as employment contracts, policies, and procedures.

Handling assets

  • Maintain an accurate inventory of all company assets assigned to employees.
  • Coordinate the allocation and distribution of assets to new hires and existing employees as needed.
  • Track the movement of assets within the organization and update asset records accordingly.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Proven experience as an executive assistant or HR administrator, preferably in a startup environment.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills, with a high level of professionalism and discretion.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Knowledge of HR practices, employment laws, and regulations.
  • Ability to work independently and collaboratively in a fast-paced, dynamic environment.
