As we scale operations across India and the USA, a strong Finance & Accounts Executive is critical to building a sustainable and trusted platform.

About the Role

We are looking for a Finance & Accounts Executive to manage day-to-day accounting, taxation, billing, and commercial finance operations for MatBook’s India and USA entities.

This is a hands-on, execution-focused role, suited for someone who can maintain clean books, ensure compliance, generate and verify quotes and invoices, track receivables and payables, support credit underwriting workflows, and enable teams with accurate, usable financial data.

Key Responsibilities

1. Accounting & Financial Operations

  • Maintain accrual-based accounting for India and USA entities
  • Prepare and update monthly P&L and Balance Sheet
  • Support basic cash flow tracking and financial analysis
  • Ensure accurate classification and reconciliation of transactions

2. Quotation, Billing & Verification

  • Generate customer quotes aligned with pricing, margins, and tax structure
  • Create and issue customer invoices in a timely manner
  • Verify supplier bills against agreed terms, contracts, and purchase orders
  • Identify discrepancies and coordinate with operations and suppliers for resolution

3. Receivables & Payables Management

  • Track customer receivables, follow up on outstanding payments, and highlight risks
  • Maintain vendor payables, payment schedules, and due dates
  • Coordinate with sales and operations teams to ensure timely invoicing and collections
  • Provide regular visibility on ageing, cash position, and near-term obligations

4. Credit Underwriting Support

  • Support customer credit underwriting by collecting and validating required documentation
  • Assist in assessing customer payment behaviour, credit limits, and risk indicators
  • Maintain structured records for credit approvals, credit terms, and follow-ups
  • Coordinate with internal teams and external partners for credit-related processes

5. Taxation & Compliance (India + USA)

  • Execute and support tax filings including:
  • India: GST, TDS, Income Tax compliance
  • USA: Federal & State filings, sales tax where applicable
  • Coordinate with external CA / CPA firms
  • Ensure timely filings, accurate documentation, and audit readiness

6. Documentation & Systems Support

  • Maintain a structured drive repository for:
  • Invoices
  • Quotes
  • Tax filings
  • P&L and Balance Sheet reports
  • Credit documentation and approvals
  • Upload financial documents and data into MatBook’s internal tools
  • Review invoice formats and workflows and provide practical feedback to improve usability and scalability

Qualifications

  • 4–6 years of hands-on experience in finance, accounting, or commercial operations
  • Proven experience in India and USA tax filing
  • Strong understanding of:
  • Accrual accounting
  • P&L and Balance Sheet fundamentals
  • Experience with:
  • Billing, quote generation, and bill verification
  • Credit underwriting support (preferred)
  • Familiarity with accounting tools such as QuickBooks, Zoho, Xero, or similar
  • Strong working knowledge of Excel / Google Sheets
  • Startup, SME, or cross-border business experience preferred
